Respond with clarity, not a long sales speech
A good inquiry response confirms that you understood the message, gives the client useful information and proposes a reasonable next step. It does not need to include your entire background or every service you offer.
Use this five-part structure
- Thank the person and acknowledge the request.
- Restate the main need in one sentence.
- Confirm whether the work appears to fit your service.
- Ask only the missing questions needed for the next decision.
- Suggest a clear next step and expected response time.
Sample inquiry response
Hi [Name], thank you for reaching out. I understand you are looking for support with [main task] beginning around [date]. This is within the type of administrative support I provide. Before I recommend the best next step, could you confirm [question one] and [question two]? Once I have those details, I can respond with availability and a suggested approach by [time or date].
Before sending
- Replace every placeholder.
- Check names, dates and time zones.
- Remove promises you are not authorized to make.
- Use the client’s preferred communication channel.
- Record the next follow-up date.
